Count fixtures, not rooms

A 500-room property may have more than 1,000 water outlets once guestrooms, suites, public washrooms, restaurants, spa areas, and back-of-house spaces are included. Build the spare-parts plan from the fixture schedule and model codes. Room count is only a rough starting point.

Separate fast-wear parts from finish-sensitive parts

Cartridges, aerators, hoses, seals, check valves, and diverter components have different failure patterns. Visible handles, escutcheons, and trim may fail less often but are difficult to match after a finish or product line changes. Hold enough finish-sensitive parts to preserve appearance through the maintenance period.

Adjust for water and operating conditions

Hard water, sediment, high pressure, intensive housekeeping, and high occupancy can increase service demand. A resort far from distribution support needs a larger buffer than a city hotel with next-day replenishment. Review the lowest replacement lead time realistically available after opening, not the optimistic production lead time quoted before the project.

Use a risk-based quantity instead of one percentage

There is no universal spare percentage. Set a quantity for each component using installed count, expected failure or loss, replenishment lead time, acceptable room downtime, and minimum reorder quantity. A low-cost seal may justify a larger stock; expensive finish trim may require a smaller but carefully controlled reserve.

Make the stock usable at handover

Label every spare with the finished fixture model and room-schedule code. Include exploded drawings, replacement instructions, and supplier references. Store finish parts in protective packaging and record issue history. Unidentified parts in a maintenance storeroom are not a service plan.
